SharePoint Site Management Service (SSMS)
 
This service will perform the technical site owner role for all new and migrated SharePoint 2010 sites and sub-sites. Focus will be on ensuring sites are configured properly and information is being managed according to best practices and corporate governance guidelines. The SSMS resources will interface directly with the business SMEs (functional site owners) for each team and be accountable to the project team service manager and service owner.
 
Technical Site Owner: This role will be performed by the SSMS.
 
The responsibilities for this role include:
- Managing intake queue of assistance requests, including priority levels & resource assignments
- Coordinating scheduled activities and communications with functional site owner
- Building and maintaining a "library" of templates to enable efficient site set-up
- Ensuring sites are created based on templates, including model document frameworks and team site templates (page, style,
list, web parts, and library templates)
- Ensuring lists are created and configured correctly with meaningful columns and views
- Ensuring document libraries are configured with correct versioning settings, workflow settings, and authoring controls.
- Ensuring sites are created in the appropriate environment - BPOS, DCS, satellites 
- Configuring each site or set of sites per team, including template(s) selection and setup
- Providing content management assistance for migrated sites
- Proposing custom metadata based on business requirements
- Assisting with custom metadata selection and implementation.
- Ensuring site navigation (within a site and between sites) is consistent and well understood
- Managing links – between sites collections and within a site
- Creating and maintaining basic work flows in a consistent and repeatable manner and based on business needs
- Contributing to project knowledge base by logging errors, functionality incidents, and resolutions that are handled
internally within the service
- Managing permissions for subsites and site content, under direction of functional site owner
- Consulting with and mentoring functional site owners who have appetite to take on technical ownership
- Addressing reported search issues for sites created
- Creating and storing search queries for business specific searches to allow reuse
- Producing high level instructional and process documentation as needed
- Reporting monthly on activities and KPIs for number requests processed, types of requests, number of sites created,
maintained or enhanced, number of records declared, usage of metadata. Identify successes in eliminating folder structure. Agree to other reporting requirements as requested.
- Assisting MI4PT analysts as required for content migration related to site migration.
- Directing users to Ask IT, instructional documentation, training and tools
- Vetting and routing out-of-scope requests and requirements accordingly
- Training new SSMS resources as they are on-boarded.
 
Logica Service Manager: Providing a single focal point/service manager representing the SSMS
 
Assumptions
- This service will be managed as an add-on to the SharePoint Solution Factory service currently provided by Logica.
- Once initial site configurations is complete, site members will take responsibility for ongoing content maintenance.
- Limited site development, i.e., custom application development requires a project and is not part of this service
- Service resources will be available to assist from 3 main hubs, NL, US, IN/KL.
- Number of resources required will be based on deployment schedule and customer demand. Initially staffed at 3, including
Logica service manager.
- Service should be set up and trained by early to mid April, in time for first business deployments. Service manager will
facilitate on-boarding/training activities the resources involved.
- Communication to pilot site owners should take place as soon as service is available to allow these teams to take advantage
of the service first (test the service).
 
Life Expectancy of Service
This service will be in effect until such time as an equivalent enterprise service can be designed, approved, and
implemented. Expected later in 2013.

Skill Requirements:
- SharePoint Certification strongly preferred
- 5 years of experience as a SharePoint Administrator
- BS or MS degree in computer related field
